For a hotel, hosting a large group usually means major challenges. Staff prepare for queues at the front desk, potential complaints, booking changes, logistical issues and a tense atmosphere. Yet representatives of hotels, restaurants, catering and transport companies, as well as venue managers who worked with Jehovah’s Witnesses during their International Convention in Warsaw, are almost unanimous: they want more guests like these. Their experience turned out to be completely different from the stereotypes. Several key managers shared their views on working with Jehovah’s Witnesses.

Jehovah’s Witnesses rarely appear in the business media. Therefore, some partners admit they didn’t know what to expect before starting their partnership. However, instead of a difficult client, they found a partner who understands the specifics of hotel and event management.

„It was a pleasure for us to work with Jehovah’s Witnesses. We wish every client was as well-organized, prepared, and flexible” – says Jakub Kosik, stadium events coordinator at Legia Warsaw Stadium. „The amount of work and planning that went into it is evident, above all, in how little we had to do on the day of the event. This is always a sign of a well-prepared project”.

And over 30,000 people took part in the event at the stadium each day.

Demanding client? Yes. But professional.

Hotel representatives make no secret of the fact that negotiations with Jehovah’s Witnesses were often detailed and required meticulous preparation. However, as almost everyone emphasized, these high expectations were accompanied from the outset by mutual respect and a partnership.

„Jehovah’s Witnesses are a demanding clientele that pays close attention to every organizational detail, so the preparation process requires good communication, patience, and mutual understanding” – says Agnieszka Konkel , sales manager at Mercure Warszawa Centrum. „At the same time, all arrangements are made in an atmosphere of high personal culture, professionalism, and respect. I also appreciate that the organizers care about both the comfort of their delegates and good cooperation with the hotel staff, treating them with kindness and due respect”.

This is important because cooperation with the client does not end with signing the contract. „Then, equal attention is paid to organizational and logistical arrangements: every element of the event is carefully planned, discussed in advance, and precisely coordinated. The result is a perfectly prepared event, in which all arrangements are clearly defined, and execution runs smoothly and according to plan”, adds Agnieszka Konkel.

Jacek Piasecki, general director of the Airport Hotel Okęcie, shares similar impression: „I was amazed by the professionalism of the organizers from the very first stage of discussions and negotiations. They demonstrated high personal culture, efficient business negotiations, and determination to achieve the best possible conditions for convention participants. At the same time, the entire process unfolded in an atmosphere of mutual respect and partnership. Equally surprising was the fact that all agreements made were fully implemented. Every commitment was kept, and the organization of the stay proceeded according to the previously agreed-upon plan”.

Iwona Głuchowska, cluster director of sales and marketing Warsaw at Radisson Hotels, also has observations on the organizers’ declarations and their subsequent implementation: „My concern was whether the group would materialize in full, given the free cancellation terms. This turned out to be a pleasant surprise. A major plus was the fact that the guests also made use of the hotel’s food and beverage services. It also confirmed what we had been assured of: as soon as the reservations opened, virtually all the rooms were booked within just a few days.”

Daniel Dzierba, general director of Focus Hotel Premium Warsaw: Jehovah’s Witnesses are a reliable, straightforward and very well-organized partner. For a hotel, this is extremely important, both operationally and from a business perspective. This kind of cooperation makes it possible to plan the team’s work effectively, minimizes the risk of misunderstandings, and brings a great deal of satisfaction”.

This predictability means that, from the hotel’s perspective, a demanding client is no longer a challenge, but becomes a partner with whom you can confidently plan your business and expect tangible financial results.

The numbers that make hoteliers most happy

Not all the successes of large-scale events are immediately visible, however. Paweł Jarzębski, Director of Sales at ibis Styles Warszawa City, points to two indicators that are of particular importance to hotel managers:

“Two things that are rare with groups of this size: a very low cancellation rate and virtually no food waste. With bookings on this scale, you normally have to factor in a margin for cancellations and waste. That simply wasn’t the case here. On top of that, the guests displayed an exceptionally high level of courtesy throughout the entire week. Anyone who knows hotel operations from the inside understands just how much that kind of smooth, trouble-free stay means”.

The hotel made the entire property exclusively available to Jehovah’s Witnesses. It was a bold business decision, but as Paweł Jarzębski emphasizes, precise planning and constant communication with the organizers ensured that the entire process ran exceptionally smoothly.

“The group took over the entire hotel for a week, and despite the scale of the booking, everything ran smoothly — from the initial arrangements and logistics to day-to-day operations. The organizers knew exactly what they needed and remained in constant contact with us. On our side, we focused on flexibility from the negotiation stage and on adapting the entire hotel operation to serve a single group. And it worked. A high volume of room nights, a precise and well-organized client, and operations that could be planned well in advance. In short: we’re looking forward to their next visit”, concludes Paweł Jarzębski.

The biggest surprise? The guests’ behavior.

With groups numbering in the hundreds or even thousands, front-desk staff usually prepare for one thing: plenty of challenges and stressful situations. This time, however, as all those interviewed unanimously emphasize, things were completely different. As Iwona Głuchowska puts it: „The guests? Fantastic. Open, smiling. What caught my attention was the guests’ costumes, specifically the fact that many of them wore their national or regional costumes. It was amazing”.

The positive attitude of the guests was also felt by the staff at the Airport Hotel Okęcie. Jacek Piasecki recalls: „I was deeply impressed by the guests’ attitude. Our receptionists spoke highly of their patience and manners. Even when lines formed at the front desk, there was no impatience or complaining. On the contrary, they often heard from guests: 'Please don’t rush, we have time.’ Such understanding and calm significantly improved the work of our team. I was also surprised by the sheer amount of positive energy, warm smiles, and mutual kindness that was evident throughout our stay”.

Jacek Piasecki emphasizes that positive comments came from every department of the hotel: “From the receptionists and restaurant staff and waiters, to the housekeeping team and guest service staff who welcomed guests at the airport — everyone agreed that they had encountered exceptional warmth, courtesy and respect. The feedback from my team is the best confirmation for me that this was a truly outstanding partnership”.

And how were the guests rated elsewhere? Marta Krzanowska, event coordinator at the E. Wedel Chocolate Factory Museum, which the delegates visited, describes: „Our guides and the entire team were incredibly impressed with the Jehovah’s Witness groups. We were repeatedly told that they were some of the most pleasant participants they had ever had the pleasure of working with.”

Dorota Domin, catering director at Kręgliccy Restaurants and Catering, which was the company used by the organizers, assessed the cooperation equally positively, drawing attention not only to the guests but also to the similar attitude of another group of Jehovah’s Witnesses: „The volunteers deserve special recognition for their exceptional commitment, helpfulness, and excellent organization throughout. Their openness and willingness to collaborate had a huge impact on the smooth running of the event”.

Guests in town and benefits

The International Convention of Jehovah’s Witnesses in Warsaw attracted over 30,000 participants each day, including 7,000 international delegates from over 20 countries who stayed in Warsaw for an average of about a week. They took advantage of not only accommodations but also catering, transportation, tourist attractions, and shopping.

Beata Olejniczak, party service director at Impel Catering, whose team prepared 65,000 snacks and over 750 kilograms of fruit for the guests, says: „Jehovah’s Witnesses are a partner of the highest credibility, unwaveringly honoring all agreements and commitments. What’s rare in such large-scale projects is that we were consistently met with great kindness, courtesy, and mutual respect”.

Aleksander Jańczuk, operations manager of the transport company RafTrans, admits that despite many years of experience, his team drew specific conclusions from the project. – We learned a great deal from Jehovah’s Witnesses during this project. Some of the solutions implemented by the organizer were a real revelation for us.

The best reviews were given by employees

There’s a principle in the hotel industry that the best indicator of a guest’s quality is what those closest to them, such as receptionists, restaurant staff, and housekeeping, say after their departure. After the Warsaw International Convention of Jehovah’s Witnesses, these opinions were remarkably consistent. Some spoke of calm, others of respect, and still others of excellent organization.

– Such a high level of organization and consistency in implementing arrangements is a standard that we would like to achieve even in cooperation with the most experienced event organizers – summarizes Jacek Piasecki, General Director of Airport Hotel Okęcie.

Ultimately, the best proof of a customer’s quality isn’t the number of rooms rented or meals sold. It’s the answer to one question: would we want to welcome them again? After speaking with representatives from ten different companies, the answer seems unequivocal.
